Coaches: programs and workouts
How to build training programs, assign them to clients, and manage a client’s schedule in the coach web app.
Key ideas
- A program in your library is a reusable template.
- Assigning a program gives the client their own copy. Editing a client’s copy never changes your library program, and deleting a library program does not remove copies already assigned.
- A program is either Scheduled (workouts on fixed days) or Self-paced (the client works through the workouts in their own time).
The Programs library
Programs in the sidebar lists your workspace’s programs.
- New program creates one from scratch.
- Straton Library opens ready-made programs. Use Copy to workspace to get an editable copy. Straton’s originals cannot be edited directly.
- The row menu has Edit and Delete. Delete happens immediately, without a confirmation.
Creating a program
| Field | Rules |
|---|---|
| Name | Required, up to 255 characters |
| Description | Optional, up to 2,000 characters |
| Type | Scheduled or Self-paced |
| Level | Optional: Beginner, Intermediate, Advanced |
| Week Duration | Optional, 1 to 52 weeks. Leave empty for an open-ended program |
Building a scheduled program
The builder is a grid: one row per week, columns Day 1 to Day 7.
- Click a cell to add a workout. Create a new one, or pick from the workout library.
- Drag workouts between days and weeks. Drag weeks to reorder them.
- Add week adds a row. Each week can be duplicated or deleted.
- Each workout card has Edit workout, Rename, Duplicate and Delete, plus a colour and icon.
A self-paced program is a simple ordered list of workouts.
The workout builder
The same builder is used for library workouts and for a client’s own copy. Changes save automatically. Look for the “Saved” indicator.
-
The left pane is the exercise library. Search, then click or drag an exercise into the workout. Press / to jump to search.
-
New exercise in that pane creates a basic exercise by name and adds it.
-
For each exercise, choose which columns to use:
Column Meaning Reps Target reps Range Minimum and maximum reps kg Target load Rest Rest in seconds RPE Effort from 0 to 10 Tempo For example 3-1-2-1 RIR Reps in reserve -
Coach note adds an instruction the client sees on that exercise (up to 2,000 characters).
-
The summary panel shows exercises, groups, total sets, estimated duration and estimated volume.
Groups: supersets, circuits and more
Select exercises and create a group:
| Group type | Use it for |
|---|---|
| Standard | Supersets, warm-ups, cool-downs, giant sets, drop sets |
| Circuit | Multiple rounds with rest between rounds |
| Interval | Time-based intervals |
| AMRAP | As many rounds as possible |
In the app, clients see the group name, its type, the number of rounds and the rest between rounds.
Assigning a program to a client
- Open the client and go to the Programs tab.
- Click Assign from library.
- Choose from Workspace Library or Straton Library.
- For a scheduled program, set:
- Start date: the first date the program can appear.
- Schedule mode:
- Available days fits workouts to the days the client said they can train.
- Original dates keeps the days exactly as laid out in the template.
- Click Assign program.
- In Assigned Programs, open the row menu and click Activate.
A newly assigned program starts as Inactive. The client sees it as “Upcoming” in the app. Activate it to put its workouts into the client’s schedule.
The client gets an in-app notification, “New program assigned”. A push notification follows a few minutes later if they have not opened it.
Errors when assigning
| Message | Fix |
|---|---|
| Client has no available days configured | The client has not set training days. Use Original dates, or ask the client to set their days in Profile > Edit profile in the app |
| Program week N requires X training days, but the client has Y available | The template has more workouts in a week than the client has days. Use Original dates, reduce the workouts, or have the client add days |
| Program is already active | It is already running. No action needed |
Managing assigned programs
In the client’s Programs tab, Assigned Programs lists each program with a status:
| Status | Meaning |
|---|---|
| Inactive | Assigned but not running. Shown as “Upcoming” to the client |
| Active | Running. Workouts appear in the client’s schedule |
| Paused | Temporarily stopped |
| Completed | Finished |
Row menu:
- Activate or Pause.
- Sync changes appears when the library program has changed since you assigned it. The row shows a “Source updated” badge. Syncing brings the client’s copy up to date.
- Remove deletes the client’s copy and its workouts. This cannot be undone. The client’s logged workout history is kept.
Calendar and rescheduling
The Calendar sub-tab shows the client’s workouts by week or month.
- Drag a workout to another day to reschedule it.
- Dropping onto a day that already has a workout asks how to handle the rest of the program: Shift all following workouts or Move this workout only.
- Workouts cannot be moved to a past date.
- Self-paced programs have no dates and cannot be rescheduled.
- Click a workout for a quick edit panel (rename, exercises), or Open full editor.
What the coach sees after a client trains
The client’s Training tab shows each logged workout with sets, loads, effort and rest. Workouts are marked Completed, In progress (some sets logged) or Missed. The Last 7 days marks on the Clients list update as well.
Roles
| Role | Programs |
|---|---|

Common questions
I changed my library program. Why didn’t my client’s program change? Clients have their own copy. Open the client’s Assigned Programs and use Sync changes.
My client can’t see their workouts. Check that the program is Active, the start date has arrived, and the workouts fall on the days you expect in the client’s Calendar.
Can I duplicate a whole program? There is no duplicate action for a program. You can duplicate weeks and workouts inside a program.
Can I undo deleting a program? No. Programs already assigned to clients are not affected.
